AARDWOLF AFRICA ADVENTURE SAFARIS LTD
TERMS & CONDITIONS
These Terms & Conditions apply to all safari and travel arrangements booked through Aardwolf Africa Adventure Safaris Ltd (“Aardwolf”, “we”, “us”, or “our”).
By making a booking and paying the required deposit or full payment, the client (“you” or “your”) confirms that they have read, understood, and accepted these Terms & Conditions.
1. DEPOSIT & BOOKING CONFIRMATION
A 40% deposit of the total safari cost is required at the time of booking to confirm your reservation.
The deposit is used to secure accommodation, park permits, domestic flights where applicable, and other services prepaid or reserved on your behalf. Accordingly, the deposit is non-refundable.
Where supplier policies permit, Aardwolf will make every reasonable effort to:
Transfer the value of your booking to alternative travel dates; or
Apply the value as travel credit for a future safari.
Any rescheduling or travel credit remains subject to availability and the terms and conditions of the respective suppliers.
2. BALANCE PAYMENT
The remaining balance must be paid no later than 60 days before the safari commencement date.
Failure to receive the balance payment by the specified due date may result in cancellation of the reservation. Any applicable supplier cancellation charges may be deducted or charged to the client.
3. LAST-MINUTE BOOKINGS
For bookings made within 60 days of the arrival date, full payment is required at the time of confirmation.
All last-minute bookings remain subject to accommodation availability, flight availability, park permits, and confirmation by the relevant suppliers.
4. CANCELLATION & DATE CHANGE POLICY
All cancellations, amendments, or requests to reschedule a safari must be submitted in writing.
More Than 30 Days Before Arrival
The initial deposit remains non-refundable.
Where supplier policies permit, Aardwolf will make every reasonable effort to assist with rescheduling the safari to alternative travel dates.
Where applicable, the booking value may be retained as travel credit, subject to availability and supplier conditions.
30 Days or Less Before Arrival
Supplier cancellation charges may be up to 100% of the total booking value, depending on the accommodation, domestic flights, park permits, transportation, and other services already secured.
Wherever possible, Aardwolf will make reasonable efforts to:
Reschedule the safari to alternative dates; or
Retain the applicable booking value as travel credit.
Any such arrangements are subject to supplier approval, availability, and the applicable supplier terms and conditions.
No-Show
Failure to arrive for a confirmed safari without prior written notice will result in a 100% cancellation charge.
Travel Credit Validity
Any approved travel credit or rescheduled booking should generally be utilized within 6–12 months of the original travel date, unless otherwise specified by the applicable supplier.
Travel credit remains subject to supplier policies, availability, and any applicable fare or rate differences.
5. PAYMENT METHODS & APPLICABLE CHARGES
Credit & Debit Card Payments
A 4% surcharge applies to all online credit and debit card payments processed through PesaPal.
Bank Transfers
Payments must be made net of all applicable bank charges.
All bank transfer fees and associated charges are the responsibility of the client.
Bank account details will be provided upon confirmation of your booking.
6. PASSPORTS, VISAS & HEALTH REQUIREMENTS
Clients are responsible for ensuring that they have all valid travel documentation required for their safari.
This includes, where applicable:
A valid passport;
Appropriate visas or entry permits;
Vaccination certificates;
Travel permits; and
Any other documents required by the relevant country or authorities.
This responsibility applies to Kenya, Tanzania, Botswana, Namibia, and any other destination included in the client’s itinerary.
Clients are also responsible for informing Aardwolf of any medical conditions, allergies, dietary requirements, disabilities, mobility limitations, or other special requirements that may affect their safari experience.
While Aardwolf will make every reasonable effort to accommodate special requirements, we cannot guarantee that all requests can be fulfilled.
7. TRAVEL INSURANCE
Aardwolf strongly recommends that all clients obtain comprehensive travel insurance before departure.
Travel insurance should ideally include, but not be limited to:
Trip cancellation and interruption;
Emergency medical expenses;
Personal accident coverage;
Emergency medical evacuation;
Loss, theft, or damage to baggage and personal belongings;
Flight delays; and
Missed connections.
Travel insurance provides important financial and medical protection against unforeseen circumstances and is strongly encouraged for all travellers.
8. BAGGAGE ALLOWANCE – FLY-IN SAFARIS
For itineraries that include scheduled domestic or safari flights, baggage allowance is generally restricted to 15 kg (33 lbs) per person, including hand luggage, packed in soft-sided bags, unless otherwise advised.
Baggage restrictions may vary depending on the aircraft, airline, route, or destination.
Excess baggage may incur additional charges or may require prior arrangement.
Clients are responsible for complying with the baggage requirements communicated for their specific itinerary.
9. EMERGENCY EVACUATION COVER – AMREF FLYING DOCTORS
Where included in the safari package, the safari includes AMREF Flying Doctors Bronze/Silver Emergency Evacuation Cover, providing emergency evacuation services subject to the applicable terms and conditions of the cover.
The cover includes:
Emergency air evacuation within Kenya and Tanzania to the nearest appropriate medical facility;
Ground ambulance transfers during qualifying medical emergencies;
Access to a 24-hour emergency medical assistance and coordination centre; and
Professional evacuation coordination through AMREF Flying Doctors’ medical and operations team.
This emergency evacuation cover is intended specifically for emergency medical evacuation and does not replace comprehensive travel insurance.
Clients are strongly advised to obtain separate travel insurance covering medical expenses, cancellation, interruption, baggage, personal accident, and other travel-related risks.
10. WILDLIFE SIGHTINGS
Wildlife viewing is one of the highlights of an African safari. However, animals live freely in their natural habitats, and sightings of specific species cannot be guaranteed.
This includes, but is not limited to, the Big Five — lion, leopard, elephant, rhinoceros, and buffalo.
Our experienced safari guides will use their local knowledge, experience, and understanding of wildlife behaviour to maximize opportunities for wildlife viewing while respecting the natural environment.
11. PARK FEES, TAXES & GOVERNMENT CHARGES
Safari prices are based on the prevailing park fees, conservation charges, government taxes, levies, permits, and supplier rates applicable at the time of quotation.
If any government authority, park authority, conservation organization, airline, accommodation provider, or other supplier increases its charges after the booking has been confirmed, any resulting additional costs shall be payable by the client.
Aardwolf will communicate any applicable additional charges as soon as reasonably possible.
12. FORCE MAJEURE
Aardwolf Africa Adventure Safaris shall not be held liable for circumstances or events beyond our reasonable control.
Such circumstances may include, but are not limited to:
Natural disasters;
Floods;
Adverse or extreme weather conditions;
Government restrictions or regulations;
Political unrest or instability;
Strikes or industrial action;
Pandemics or epidemics;
Border closures;
Airline disruptions;
Changes in government travel requirements; and
Other unforeseen events beyond our reasonable control.
In such circumstances, Aardwolf will work closely with clients and relevant suppliers to explore reasonable alternatives, which may include revised travel arrangements, alternative travel dates, or travel credit, subject to availability and supplier policies.
13. LIABILITY
Aardwolf Africa Adventure Safaris acts as an organizer and, where applicable, as an agent or intermediary for accommodation providers, airlines, transportation companies, national parks, conservancies, guides, and other independent service providers.
While every reasonable effort is made to provide a safe, seamless, and enjoyable safari experience, Aardwolf shall not be held responsible for delays, cancellations, injury, illness, loss, damage, additional expenses, or changes resulting from circumstances beyond our reasonable control or from the acts or omissions of independent third-party service providers.
All services are provided subject to the terms, conditions, policies, and operational requirements of the respective suppliers.
Nothing in these Terms & Conditions is intended to exclude or limit any liability that cannot legally be excluded or limited under applicable law.

Has read these Terms & Conditions;
Has understood the contents of these Terms & Conditions;
Has accepted these Terms & Conditions in full; and
Agrees to be bound by these Terms & Conditions.
